Purpose of Position

To provide support in acquiring and retaining customers, and assuring that customers’ needs are completely satisfied, managing & hiring staff as well as providing exceptional service while exceeding expectations.

Minimum Performance Requirements

Will be determined by agency principal and staff, and updated monthly. Essential functions listed are primary goals to improve operation of the office and improving sales and efficiency while providing assistance to agency principal. If essential functions cannot be performed, the agency principal should be notified immediately. Monthly goal of 22 P&C items and 1 life item issued with a minimum of 11 P&C items and 1 life application issued monthly to receive quarterly variable bonus.

 

Essential Functions

  • Complete daily activity log each morning and put on agency principal’s desk within 30 minutes of arrival
  • Manage part-time clerical employee(s) and track timesheets
    • Track paid-time Off (PTO)
  • Do weekly/monthly staffing schedule (3 or more people in the office M–F and up to 2 on Saturday)
    • Full-time employees are scheduled 40 hours per week, which includes breaks and lunch break
    • Include scheduled time out of office for marketing and appointments
  • Write and issue a minimum of 15 items and 1 life insurance policy per month
  • Keep track of office licensing and continuing education
  • Weekly cancellation audit – letters and follow-up phone calls, endorsement follow-up
  • New business customer thank-you process
  • Enter all financial services follow-ups into eAgent (or other system) each day
  • My Work Items
    • Pre-renewal calls
    • Post-purchase calls and schedule appointment with EFS
    • Claims follow-up
  • Schedule existing customer annual financial reviews with EFS
  • Process outgoing mail (9:30 am and 4:45 pm), bring in and process daily mail, process returned mail and manage any office deliveries
  • Handle daily bank deposits
  • Waste management and manage office cleaning/keep reception area organized
  • Manage office supplies, including printer toner
  • Order business cards as needed
  • Programming of phones
  • Market to realtors, mortgage brokers and apartment owners
  • Participate in community events as necessary
