Role Summary

The PDI Wholesale Module Administrator owns day‑to‑day administration, configuration, data integrity, and user enablement for PDI Enterprise – Wholesale (and connected modules). This role partners with Operations, Dispatch, Pricing, Tax, Accounting, and Customer Service to keep wholesale fuel processes flowing end‑to‑end—from order capture through dispatch/delivery, invoicing, payments, and tax filing—while ensuring system reliability, accurate reporting, and compliant controls.


This role also manages two (2) remote Billing Analysts


Key Responsibilities

System ownership & governance

  • Serve as primary admin for PDI Enterprise – Wholesale: environment and role security, user provisioning, profiles/permissions, and audit readiness.
  • Own master data standards and stewardship (customers, vendors, locations, items/products, tanks/equipment, contracts, tax setups, price rules/zones).
  • Maintain configuration for Order Processing, Fuel/Warehouse Inventory, AR/AP/GL, Card processing/cardlock, Customer & Vendor Contracts, Fuel & Item Pricing, Real‑Time Alerts, and Customer Web Portal.

 

Order‑to‑Cash & Procure‑to‑Pay

  • Configure and support flows from order entry to dispatch/delivery confirmation and invoicing.
  • Oversee invoice matching, billing cycles, and payment workflows; monitor exceptions and drive root‑cause fixes.

 

Pricing & contracts

  • Administer rules‑based pricing, contracts, quotes, discounts/surcharges, and margin controls; partner with Pricing to execute strategies and promotions.

 

Tax & compliance

  • Maintain motor fuel excise tax configuration and filing readiness; coordinate with our tax‑filing partners and support audits.

 

Inventory, tanks & equipment

  • Support daily/periodic reconciliation for bulk and site inventories; maintain tank/equipment masters and alert thresholds.
  • Administer tank monitoring integrations to surface real‑time levels, compliance status, and operational alerts for proactive dispatch.

 

Integrations & data

  • Own data interfaces (APIs/EDI/file drops) to pricing, logistics, banking, tax, and data warehouse/BI; define SLAs, monitoring, and error handling.
  • Partner with IT to maintain non‑prod/prod environments, release pipelines, and backup/restore practices.

 

Reporting & analytics

  • Build and curate operational and financial reports (e.g., daily sales/gallon, margin, delivery performance, aging, tax, reconciliation); support ad‑hoc analysis for leadership.

 

Releases, projects & vendor management

  • Plan and execute upgrades/patches: regression testing, change documentation, cutover, and hypercare.
  • Manage PDI support tickets and professional services SOWs; track enhancement backlog and deliver continuous improvement.

 

User enablement & support

  • Provide second‑line functional support; create SOPs, quick‑reference guides, and role‑based training for CSRs, pricing analysts, tax/accounting, and field users.

 

Qualifications

Required

  • 5+ years administering an ERP for petroleum wholesale or adjacent industry; 3+ years with PDI Enterprise – Wholesale (or strong equivalent) strongly preferred.
  • Hands‑on with several of: Order Processing, Fuel & Warehouse Inventory, AR/AP/GL, Customer/Vendor Contracts, Fuel & Item Pricing, Customer Web Portal, Real‑Time Alerts, Motor Fuel Excise Tax.
  • Demonstrated knowledge of wholesale fuel operations (order‑to‑cash, dispatch/delivery, invoicing, inventory reconciliation, pricing/margins, tax/regulatory concepts).
  • Technical proficiency: advanced Excel; basic SQL (querying/joins), data mapping; experience with APIs/EDI and BI tools (e.g., Power BI/Tableau/SSRS).
  • Strong process design, documentation, and stakeholder communication skills.

 

Preferred

  • Experience with PDI Logistics, PDI Fuel Pricing, tank monitoring, and automated fuel tax filing.
  • Background in convenience retail ecosystems and store/head‑office integrations.
  • Bachelor’s degree in Information Systems, Accounting/Finance, Supply Chain, or related field.
